Summary: Templates turn tribal knowledge into a repeatable process. Build once, use everywhere, and keep every crew closing jobs the same professional way.
Why templates matter
Without templates, each tech invents their own closeout. That leads to missing photos, skipped safety items, and a handover that changes from job to job. Templates standardize the process so you can grow without losing quality.
Building your first checklist template
Go to Templates → Checklist Templates → New.
Name it clearly (e.g., “HVAC Start‑Up – Residential”).
Add items and choose Pass/Fail, Notes, and whether a Photo is required.
Order items to match your field sequence—less scrolling means faster closeouts.
Save and Set as default for the team or project type.
Do the same for Warranty Templates—standard text with variables you edit per job

Governance: who edits what
Owner/Admin: manage organization templates and defaults.
Project Managers: can create job‑specific templates and save improvements.
Secretaries: view templates; great for QA before sending links to clients.
Use History to see what template a job used and how it was modified
The marketplace advantage (Pro/Enterprise)
Start from a library of pre‑built templates curated for common trades. Customize once and save as your own
Roll‑out plan
Week 1: Build two high‑impact templates (your most common service call + your most frequent project type).
Week 2: Add warranty language and make photos required on risky items.
Week 3: Train the team on the 5‑minute workflow; measure completion time and rating.
Result
Templates remove guesswork and make every handover feel consistent and professional—no matter who’s on the crew.
